Responsibilities include administrative day-to-day operations of Human Resources, providing the administration of benefits, compensation, policies, hiring, leaves, programs, and compliance.
Assist with benefits administration: enrollment, vendor relations, COBRA administration, 401k, ACA compliance.
Assists with tasks associated with on-boarding and off-boarding employees, maintaining employee records and special projects.
Provide guidance regarding layoffs, terminations, or corrective action. Must facilitate sound and consistent employee and labor relations decisions.
Processing bi-weekly payroll, which includes ensuring vacation and sick time are tracked in the system
Review employee timecards; Ensure accuracy and compliance along with approval from employee and supervisor, including regular hours worked, overtime worked, and PTO are entered and calculated correctly.
Maintain employee database; Assign and classify employees appropriately; Ensure the accuracy of employee pay-rates, PTO accrual rates, and employee reporting structure.
Process bi-weekly payroll by incorporating all data from employee timecards, employee benefits including but not limited to union dues, medical, dental, life, 401(K), fringe benefits, voluntary and Federal & State mandatory deductions.
Process special payroll at the direction of Management.
Review and audit all payroll data prior to submission and immediately following the submission to ensure it is processed properly without discrepancies.
Complete and respond to state/court notices for employee garnishments and withholding orders. Maintain a database of reconciliation per pay period, and ensure proper payment processing in ADP
Manage employee database and audit employee profiles.
Support employee ADP requests such as direct deposit changes and employee password.
Monitor ADP information updates and set up projects and accounting codes.
Administer compensation and benefit plans, including coordinating open enrollments, flexible spending and monitoring.
Participating in benefits tasks, such as claim resolutions, reconciling benefits statements, and approving invoices for payment
Conduct employee onboard orientation, organize and support training
Drive hiring process by creating job descriptions, job announcements, job postings, offer letters, and verify employee eligibility.
Provide support to employees in various HR-related topics, such as leaves, overtime and compensation and any issues that may arise
Support staff meetings
Perform special projects as directed or as situation dictates.
2+ years working in human resources or administration.
Demonstrated commitment to social, racial, gender, economic and environmental justice.
Extremely detail-oriented self-starter - you pay attention to details and thoroughly check work.
Excellent written and verbal communications skills - you practice the rigor needed for spelling, grammar, and concise and clear communications.
Outstanding organizational and time management skills and the ability to manage multiple tasks simultaneously.
Strong working knowledge of HR functions and procedures (e.g. pay and benefits, recruitment, training, and development)
Commitment to staying current on the understanding of labor laws and disciplinary procedures
Experience with technology platforms for a remote staff preferred (Google Drive, Slack, Zoom).
Experience with payroll software (ADP) preferred.
Ability to use good judgement when communicating with staff and partners.
Able to maintain confidentiality.
Compensation & Location
This position is based in San Jose, California. Annual salary range for this position is $60,000-$72,000 and will be based on experience. Generous benefits package, including health insurance, paid vacation and sick leave. This is a hourly, temp position about 30-40 hours per week.
